1.1 Account Information
When you create an Olearna account, we collect information you provide directly, including:
- Full name
- Email address
- Phone number (for mobile money payments and SMS notifications)
- Role (student, parent, teacher, or school administrator)
- Academic details (school name, class level, exam type - BECE or WASSCE, selected subjects)
- Parent-child or teacher-student relationships when accounts are linked
1.2 Usage Data
As you use Olearna, we automatically collect data about your activity on the platform, including:
- Diagnostic test results and practice question responses
- Readiness labels and progress metrics
- Subjects and topics practised
- Time spent on the platform
- Features used (mock exams, practice sessions, reports)
1.3 Device and Technical Information
We collect standard technical information, including:
- Device type (smartphone, tablet, computer)
- Operating system and browser type
- IP address
- General location (country and region, not precise location)
- Referring website or source
1.4 Payment Information
When you subscribe to a paid plan, payment is processed through third-party mobile money providers (MTN MoMo, Vodafone Cash, AirtelTigo Money). We do not store your mobile money PIN or full payment credentials. We receive confirmation of payment status and transaction references only.
2. How We Use Your Information
We use the information we collect to:
- Provide the service: Deliver diagnostic tests, practice questions, readiness labels, and progress tracking
- Personalise your experience: Match practice questions to your level and weak areas based on your performance data
- Enable linked accounts: Share student readiness data with linked parent and teacher accounts
- Process payments: Manage subscriptions and billing through mobile money providers
- Send communications: Deliver progress updates, study reminders, and important account notifications via SMS or email
- Improve the platform: Analyse aggregate usage patterns to improve question quality, user experience, and platform performance
- Provide support: Respond to your questions and resolve issues
3. Data Sharing
We do not sell your personal data. We do not share your information with third parties for their marketing purposes.
We may share limited data in the following circumstances:
- Linked accounts:When a parent or teacher links to a student account, they can view that student's readiness labels and progress data. Students are informed when accounts are linked.
- School accounts: When a school subscribes on behalf of students, authorised school administrators can view aggregate and individual student readiness data.
- Service providers: We work with trusted third-party services for hosting (Supabase), payment processing (mobile money providers), and communications (SMS providers). These providers only access data necessary to perform their services and are bound by confidentiality obligations.
- Legal requirements: We may disclose information if required by law or in response to a valid legal request from Ghanaian authorities.
4. Data Security
We take the security of your data seriously and implement appropriate technical and organisational measures to protect it:
- All data is stored on Supabase, which provides enterprise-grade security including encryption at rest and in transit
- Communication between your device and our servers is encrypted using TLS (HTTPS)
- Access to personal data is restricted to authorised personnel who need it to provide the service
- We conduct regular security reviews and follow industry best practices for data protection
While we implement strong security measures, no system is completely immune to threats. We encourage you to use a strong, unique password for your Olearna account and to keep your login credentials private.
5. Children's Privacy
Olearna is designed to be used by students, many of whom are under 18 years of age. We take additional precautions to protect the privacy of young users:
- We collect only the minimum information necessary to provide the educational service
- We do not display advertising or use student data for marketing purposes
- Student profiles are private by default and not publicly searchable
- We do not require students to share personal information beyond what is needed for account creation and learning
- Parents can view their child's data through linked accounts and can request deletion of their child's account and data at any time
- We encourage students under 13 to create accounts with the involvement and consent of a parent or guardian
6. Data Retention
We retain your personal data for as long as your account is active or as needed to provide the service. Specifically:
- Active accounts: Data is retained as long as your account remains active
- Inactive accounts: If your account is inactive for 24 consecutive months, we may delete your data after sending a notification to your registered email or phone number
- Deleted accounts: When you request account deletion, we remove your personal data within 30 days. Anonymised aggregate data (such as question difficulty statistics) may be retained indefinitely as it cannot be linked back to you
- Payment records: Transaction records are retained for 7 years as required by Ghanaian tax and financial regulations
7. Your Rights
You have the following rights regarding your personal data:
- Access: You can request a copy of the personal data we hold about you
- Correction: You can update or correct your account information at any time through your profile settings
- Deletion: You can request that we delete your account and personal data
- Data portability: You can request an export of your data in a standard format
- Opt out of communications: You can unsubscribe from promotional messages at any time. Essential account notifications (such as payment confirmations) cannot be opted out of while your account is active

8. Cookies and Local Storage
Olearna uses cookies and browser local storage to maintain your login session, remember your preferences, and improve platform performance. We do not use cookies for third-party advertising or cross-site tracking.
9. Changes to This Policy
We may update this privacy policy from time to time. When we make significant changes, we will notify you through the platform or via email. We encourage you to review this policy periodically.
